1. Introduction and Data Controller

This Privacy Policy explains how SignatureClear ("SignatureClear", "we", "us", or "our") collects, uses, shares, stores, and protects personal information when you use https://signatureclear.online and our AI-assisted signature background removal services (the "Services").

SignatureClear is the service operator and controller of the personal information described in this Policy. Privacy requests may be sent to [email protected]. We have not appointed a separate data protection officer.

Please read this Policy before using the Services. Our Cookie Policy provides additional information about cookies and local storage.

2. Information We Collect

2.1 Information you provide

• Account information: Email address, display name, password-derived authentication data, profile image, and account preferences.
• Third-party sign-in information: Basic profile information authorized by you when you sign in with Google or another enabled OAuth provider.
• Signature images and files: Original photos or scans uploaded for background removal and the processed transparent PNG results.
• Payment and subscription information: Transaction identifiers, product or plan, amount, currency, payment status, subscription status, billing period, and credit records. We do not receive or store full payment-card numbers or card security codes.
• Communications: Messages, email addresses, and other information you send through our contact form or support email.

2.2 Information collected automatically

• Device and network data: IP address, browser type, operating system, language, time zone, and similar technical details.
• Usage data: Pages and features used, request time, processing activity, credit usage, referring page, and session information.
• Security and diagnostic data: Authentication events, error logs, performance data, suspected fraud, and abuse indicators.
• Cookies and local storage: Session tokens, language and theme preferences, security tokens, and optional support-chat state as described in our Cookie Policy.

3. How and Why We Use Information

We use personal information to:

4. How Signature Images Are Processed

SignatureClear processes uploaded files through the following data flow:

1. Your browser sends the image to our authenticated background-removal API.
2. The image is uploaded to Alibaba Cloud's temporary OSS infrastructure in Shanghai, China, and is submitted to Alibaba Cloud Image Segmentation to produce a background-removed result.
3. We download the result and store the original image and processed image in our configured S3-compatible object storage, which may be operated using Cloudflare R2 or another configured S3-compatible provider.
4. We store the related object keys and URLs in your processing-history record so you can preview, download, and delete the files.

Alibaba Cloud's temporary object and result URLs are used to complete the processing request and follow that provider's lifecycle. Object-storage URLs used by our Services may be directly addressable; anyone who obtains such a URL may be able to access the associated image. Keep download links confidential and delete history items that you no longer need.

We use images only to provide, secure, troubleshoot, and support the Services. We do not sell uploaded signatures, use them for advertising profiles, or use them to train AI models without your explicit consent.

5. Payment Processing

Payments are processed by Waffo Pancake through its hosted checkout and consumer portal. Waffo Pancake receives payment and billing information needed to authorize charges, manage subscriptions, prevent fraud, handle refunds, and meet financial-compliance obligations.

Payment-card data is handled by Waffo Pancake and its financial partners and does not pass through or remain on SignatureClear's servers. We receive limited transaction and subscription metadata through checkout responses and signed webhooks so we can activate plans, grant credits, record renewals, process cancellations, and recognize refunds.

6. When We Share Information

We do not sell personal information. We share it only as reasonably necessary with:

• Waffo Pancake and financial partners: Hosted checkout, recurring billing, subscription management, refunds, fraud prevention, and payment compliance.
• Alibaba Cloud: Temporary object storage and AI image-segmentation processing for uploaded images.
• S3-compatible storage providers: Storage and delivery of original and processed signature images.
• Google and enabled OAuth providers: Account sign-in and identity data authorized by you.
• Resend: Transactional email, password-reset messages, service notices, support correspondence, and optional newsletters.
• Hosting, database, security, and infrastructure providers: Operation, monitoring, backup, and protection of the Services.
• Authorities or affected parties: When required by law, legal process, or reasonably necessary to protect rights, safety, and the Services.
• A successor organization: In connection with a merger, financing, acquisition, reorganization, or sale of assets, subject to continued protection of the information.

Service providers may process information only for the contracted service or as independently required by applicable law.

7. Cookies and Similar Technologies

We use strictly necessary authentication cookies, preference storage, and security technologies. Optional support tools may store their own session data when enabled. We do not currently use third-party advertising cookies or sell behavioral profiles. See our Cookie Policy for details and available controls.

8. Data Retention

We retain information only for as long as reasonably necessary for the purpose for which it was collected:

• Account information: While your account remains active and for the time reasonably required to complete deletion, prevent fraud, or comply with law.
• Signature images and history: Until you delete the relevant history item or request deletion, subject to short-lived technical copies and provider deletion cycles.
• Payment and transaction records: For the period required by applicable tax, accounting, payment, anti-fraud, and dispute-resolution obligations.
• Support communications and security logs: For as long as reasonably necessary to resolve the request, secure the Services, and establish or defend legal claims.
• Alibaba Cloud temporary files: According to the provider's temporary processing lifecycle rather than as part of your persistent SignatureClear history.

When retention is no longer necessary, we delete or de-identify the information unless continued storage is legally required.

9. Security

We use HTTPS in transit, authentication and authorization controls, restricted database and storage credentials, signed payment webhooks, password hashing, and operational logging. No online system is completely secure, and directly addressable image URLs should be treated as confidential.

If a security incident creates a legally reportable risk, we will notify affected users and regulators within the period required by applicable law.

10. Your Privacy Rights

Depending on your location, you may have the right to:

• Know whether and how we process your personal information.
• Access or receive a copy of your information.
• Correct inaccurate or incomplete account information.
• Delete signature-history items or request deletion of your account.
• Restrict or object to certain processing.
• Receive eligible information in a portable format.
• Withdraw consent and unsubscribe from optional marketing.
• Complain to an applicable data-protection authority.

Submit a request to [email protected] using your account email. We may verify your identity before completing a request and will respond within the period required by applicable law.

11. Marketing Communications

If newsletters are enabled, a new account may be added to our mailing list as part of registration where permitted. You may unsubscribe at any time using the link in an email or by contacting us. Unsubscribing from marketing does not stop necessary account, payment, security, or policy notices.

12. International Transfers

Our providers may process information in countries different from your own. In particular, signature images are sent to Alibaba Cloud infrastructure in Shanghai, China, while payment, email, hosting, and storage providers may operate in other regions. Where required, we rely on contractual safeguards, adequacy mechanisms, consent, or another lawful transfer mechanism.

13. Children

The Services are intended for users aged 18 or older. We do not knowingly collect personal information from children. If you believe a child provided information to us, contact us so we can investigate and delete it where appropriate.

14. Changes and Contact

We may update this Policy to reflect changes in our Services, providers, legal requirements, or security practices. We will post the updated version with a new date and provide additional notice for material changes where required.
